These are the documents Fabric Inspection Software produces from one inspection. The roll report and lot summary below are live, generated from rolls in our demo workspace and labelled sample data, each with a printable version you can save as PDF. The others are described field by field so you can compare them with your current paper or Excel formats.

In short: Fabric Inspection Software produces a roll report with roll map, defect photos and the buyer's scoring system; a lot or PO summary with pass rate and lot average; a mill debit note with photo evidence; a shade band sheet from L*a*b* readings; a supplier scorecard; and fixed-column CSV and ERP files. Reports are shared as expiring links with a print / save-as-PDF version and can be sent by email or WhatsApp.

What columns are in the CSV exports?

Exports keep fixed column names so an Excel lookup or an ERP import is set up once. New columns are only ever added at the end.

How do these compare with a paper sheet and Excel?

A paper inspection sheet records the same defects, but the points are added by hand, the per-yard cap is easy to miss, photos sit in someone's WhatsApp, and the buyer's format is retyped in Excel in the office. The reports above come from the record made at the frame: the maths is done once, the buyer's own system and limits are applied, the photos are attached to the defect they show, and the same record produces the buyer report, the mill claim and the ERP file. Can the layout follow my buyer?

Each buyer standard sets the report language, logo, photos and roll map, the scoring system and unit, and the limits that decide PASS or FAIL. Buyer-branded templates beyond those options, and white-label reports, are set up on request on the Group plan. Are the sample reports real?

Yes. The roll report and lot summary linked on this page are generated live by Fabric Inspection Software from rolls in our demo workspace, labelled sample data. Each has a printable version you can save as PDF. The other documents on this page are described field by field rather than invented.

Can a report follow my buyer's branding?

Partly. Each buyer standard sets the report options: your logo, photos, roll map and report language, plus the scoring system, unit and limits. The report title, buyer and standard follow the roll. Fully custom layouts and white-label reports are set up on request on the Group plan.

How is a report sent to the buyer?

As a read-only link that expires when you choose, plus its print or save-as-PDF version. Fabric Inspection Software can send it by email or WhatsApp from the report page or automatically for every roll, failed rolls or the finished lot; new workspaces run in sandbox until channels are connected.

What columns does the CSV export have?

The rolls CSV has fixed columns: roll_no, mill_roll_no, po, lot, shade, mill, buyer, fabric, gsm, length_yd, width_in, status, quality, defects, points, points_per_100, limit, result, finished_at, scoring_system, ticket_length_yd and shade_band. Defects, checks and ERP files have their own layouts, listed on this page.

Does the debit note show photos to the mill?

Yes. The mill-facing debit note link shows the roll map, the defect table, every defect photo and the maths behind the claim, plus bow, skew, width and length results. It only works once the note is sent and for 90 days after, so drafts are never visible outside your team.
