What this policy covers
This policy explains what AvanceZone ("we") collects when you use Fabric Inspection Software (the "Service"), a fabric inspection app for mills, knitters and garment exporters, why we collect it, how long we keep it and who processes it for us. It applies to the public website and to the application used by our customers ("workspaces") and their staff. For data your organisation enters about its own staff, your organisation is the data fiduciary and we act as its processor.
Information we process
- Account and staff data: names, work email, phone, role, login password hash (Argon2id) and, for inspectors, an optional PIN stored only as a hash and a preferred screen language.
- Fabric QC records: rolls, lots, purchase orders, buyer standards, defect entries with yard positions and points, test results (shade, GSM, shrinkage), reports, debit notes and the names and contact details of your supplying mills and buyers. These are business records; they contain personal data only where a contact person is named.
- Defect photos: images taken on the tablet to evidence a defect. They show fabric, and can show hands or people if taken carelessly; please photograph the fabric only.
- Voice logging text: when an inspector uses voice logging, we receive only the recognised text (for example "slub, three points, eighty-six"), which is stored with the defect in the audit log. We do not receive or store audio. See "Voice recognition" below.
- Device and sync data: registered device names, hashed device keys, sync queue entries, IP address, browser type and timestamps, used for syncing, security and the audit trail.
- Shared links: view counts and last-viewed time of read-only report and debit note links you share.
- Billing data: plan, invoices, GSTIN and payment references. We do not store card numbers.
- Website enquiries: name, phone, email, company, city and message when you fill in a contact or demo form.
Why we use it
- To provide the Service: scoring inspections, producing reports and debit notes, syncing tablets and keeping an audit trail of who logged what.
- To secure and support the Service and send transactional notices (for example a debit note link, a password reset or a billing notice).
- To bill subscriptions and issue GST invoices.
- To respond to demo and support requests and, with consent, send product updates. You can opt out at any time.
- To meet legal obligations, including India's Digital Personal Data Protection Act, 2023 and tax law.
We do not use your fabric QC data, photos or buyer standards to train any AI model, and we never sell personal data.
Voice recognition
Voice logging uses the speech recognition built into the inspector's browser (for example Chrome on Android). The browser vendor processes the audio under its own privacy terms, usually on its servers, and returns text to the app; we never receive the audio. Tamil and Hindi availability depends on the device. If you do not want audio processed this way, switch voice logging off on the floor and use the tap buttons or the typed phrase box, which send nothing to a speech service.
Where data lives and who processes it
All workspace data, including photos, is hosted in India. Access is limited to staff who need it to run and support the Service, under confidentiality obligations. We use the following sub-processors:
| Category | Sub-processor | What they process |
|---|---|---|
| Hosting, storage and backups | Amazon Web Services, Asia Pacific (Mumbai) region, ap-south-1, India | All workspace data, photos and encrypted backups |
| Messaging (WhatsApp, SMS) | AvanceZone messaging gateway, delivering through the Meta WhatsApp Business Platform and Indian telecom operators | Recipient number and message text, only when you connect a channel and send a debit note or report link |
| Email delivery | Our transactional email provider | Recipient address and message, for invites, password resets and links you send |
| Payments | UPI / bank transfer, or the payment gateway you choose to pay through | Payment reference and amount; card details stay with the gateway |
| Website fonts | Google Fonts | Your IP address when the public website loads its fonts |
The current list, with any change, is available on request at info@radiatus.com. We update this list when a sub-processor changes.
How long we keep it
| Data | Retention |
|---|---|
| Fabric QC records, photos, reports and debit notes | While the workspace is active, until you delete them; then 30 days after cancellation so you can export, then deleted |
| Staff accounts | Until the user is removed by your workspace owner, or the workspace closes |
| Shared report and debit note links | Report links stop working on the expiry date you set (30 days by default) or when you expire them; the underlying record stays in your workspace |
| Audit and security logs | 12 months |
| Sync queue entries | Kept with the audit trail for the same 12 months |
| Offline entries on a tablet | In that tablet's browser storage until they sync; they are not encrypted by the app, so keep Android screen lock and device encryption on |
| Invoices and billing records | As long as Indian tax and company law requires (currently up to 8 years) |
| Website enquiries | 24 months |
| Backups | Encrypted; deleted data leaves backups when they are overwritten on our rolling backup cycle |
Your rights
You may ask to access, correct, export or erase your personal data, or withdraw consent, by emailing info@radiatus.com. Workspace owners can export roll data as CSV at any time; a full export including photos and debit notes is prepared on request. If you are staff of one of our customers, please contact your employer first; we will help them respond. You may also complain to the Data Protection Board of India.
Cookies
We use a strictly necessary session cookie for logged-in users. The tablet app also uses browser storage to queue offline entries and cache the inspection screen. If analytics is enabled on the public website, it runs with IP anonymisation. No advertising cookies.
Security
TLS encryption in transit, encrypted storage at rest, Argon2id password hashing, hashed device keys and PINs, role-based access, per-workspace isolation, rate limiting, audit logs and nightly encrypted backups. See our Security page.
Changes and contact
We will post changes here and notify workspace owners of material changes by email. Questions: info@radiatus.com, +91-9585160363, or our contact page, AvanceZone, Coimbatore, Tamil Nadu.
