Fabric inspection integrations: API, Tally and ERP files, WhatsApp and email
Fabric Inspection Software sits next to your ERP rather than inside it. Packing lists come in as CSV, inspection results and debit notes go out as files your accounts and ERP teams already know how to import, a REST API covers everything else, and reports and claims reach buyers and mills by email or WhatsApp. Here is exactly what is connected, what is a file exchange, and what needs your own credentials.
What connects to what?
| System | Direction | How | Status |
|---|---|---|---|
| Tally (TallyPrime / ERP 9) | Out | Debit notes as Debit Note vouchers in Tally's "Import Data" XML; party ledger = mill, counter ledger as you name it; no GST lines | File export |
| Busy | Out | Debit notes as a CSV (date, voucher no., party, GSTIN, yards, rate, amount, narration) to map in Busy's voucher import | File export |
| SAP (QM) | Out | One row per inspected roll (batch): PO, material text, size, scoring system, points, limit, usage decision PASS / FAIL, grade, date, vendor, for your SAP partner's upload program | File export |
| Datatex NOW, WFX, other ERPs | In | Packing list or fabric receipt exported as CSV; roll / piece number, length (yd or m), width (in or cm), lot, PO, shade, GSM, colour, mill; dry run first | File import |
| Excel | Both | Rolls, defects, checks and supplier scorecards as CSV; packing lists saved from Excel as CSV | Files |
| Spectrophotometer software | In | Batch export as CSV (sample name, L*, a*, b*) imported per lot; ΔE, 555 codes and shade bands calculated in the app | File import |
| Out | Reports and debit notes through your SMTP account, by hand or automatically per buyer and mill | Sandbox until SMTP is set | |
| Out | Through a WhatsApp Business API gateway on your account; until then each message waits in the Outbox with a click-to-send link | Sandbox until a gateway is set | |
| Any system (REST API) | Both | JSON over HTTPS with an API key | Live |
| Inspection machines, vision systems | — | The tablet sits on your existing frame; no link to machine counters, re-rolling or cutting controls | Not connected |
Column names in Datatex, WFX, Tally and Busy depend on each company's setup, so imports match common column names and show what they found in a dry run. Status as of October 2026.
What does the REST API cover?
Create an API key in Settings, send it as a Bearer token, and read or create records in your own workspace only. Every response is JSON.
| Endpoint | What it does |
|---|---|
GET /api/v1/rolls?status=&lot_id= | Up to 500 rolls with result, points, scoring system, ticket length, stage and shade band |
POST /api/v1/rolls | Register a roll from your ERP (roll no., length, width, lot, PO, mill, buyer…); returns its QR code and inspection link |
GET /api/v1/rolls/{id} | One roll with its defects (direction, photo ids), evaluation, bow / skew / width / length checks and shade readings |
GET /api/v1/lots, /buyers, /defect-types | Lots; buyers with their scoring system, limits, tolerances and sampling plan; the defect master in six languages |
GET /api/v1/scorecards?months=6 | Supplier scorecards with grade, score and monthly trend |
POST /api/v1/sync | Offline batch endpoint used by tablets (device key) and gateways: defects, photos, checks, finish |
How do Tally and Busy users bring debit notes into accounts?
Once a debit note is sent to the mill, it appears in the Tally XML and Busy CSV exports on the Integrations screen of the app. The Tally file is a standard "Import Data" envelope with one Debit Note voucher per claim: the mill's name is the party ledger (debited) and your claims ledger is credited for the amount. Import it once with a test company to confirm the ledger names match; GST lines are left to your accountant because each mill's tax treatment differs. Busy users map the CSV columns once in Busy's voucher import.
How do ERP and textile-ERP users import rolls?
Export the packing list from your ERP, Datatex NOW or WFX, or keep the mill's Excel packing list, and save it as CSV. The import recognises names such as "Piece No.", "Roll No.", "Length (m)", "Width (cm)", "Dye Lot", "PO Number", "Shade", "GSM" and "Mill Name", converts metres and centimetres, creates missing mills, POs and lots, and sets each roll's mill ticket length for the length-shortage check. A dry run shows what would be imported before anything is saved.
Where does an ERP vendor's own QC module fit?
Textile ERPs such as Datatex NOW (with CATS automatic inspection), BlueCherry (statistical quality control) and WFX (a quality app) include quality features inside the ERP, as of October 2026; check with the vendor. Fabric Inspection Software is for teams who want fabric inspection on budget Android tablets with buyer-specific grading, mill claims and Indian-language screens, alongside whichever ERP they run.
How does it work with an inspection machine?
Mount the Android tablet on the existing inspection frame, table or machine at the inspector's eye level, and read the yard position from the machine's counter. Fabric Inspection Software does not read counters, control re-rolling or drive cutting tables, and it does not detect defects from cameras. Vision systems from Shelton, Uster or ISRA do that at capital-equipment prices (October 2026; check with the vendor). QR labels print through Android's print dialog to any printer the tablet can reach.

Integration questions
Does Fabric Inspection Software connect to Tally?
Through a file. Fabric Inspection Software exports sent debit notes as Debit Note vouchers in Tally's "Import Data" XML, with the mill as the party ledger and a counter ledger you name. Import the file in Tally and check the ledgers once. GST lines are not included, and there is no live connection to Tally.
Can I import rolls from my ERP, Datatex or WFX?
Yes, as CSV. Export the packing list or fabric receipt from your ERP, Datatex NOW or WFX, save it as CSV and import it with a dry run first. Fabric Inspection Software recognises common column names for roll, length (yd or m), width (in or cm), lot, PO, shade, GSM and mill, and creates missing lots, POs and mills.
Is there a REST API?
Yes. With an API key from Settings, the Fabric Inspection Software REST API lists and creates rolls, returns a roll with its defects, photos, checks, shade readings and result, and lists lots, buyers with their scoring systems, defect types and supplier scorecards. Offline tablets and gateways sync through a separate batch endpoint with device keys.
Can reports and debit notes go out by WhatsApp?
Yes, once a WhatsApp Business API gateway is configured for your account; until then every workspace runs in sandbox, where messages wait in the Outbox with a click-to-send WhatsApp link. Email uses your SMTP settings. Each buyer and mill can be set to receive reports or debit notes automatically.
Does it work with our inspection machine?
It works alongside it. Mount the Android tablet on the existing inspection frame or table and log defects as the fabric passes; the yard counter on the machine gives the position. There is no direct link to machine counters or re-rolling controls, and no camera-based detection.
Can a spectrophotometer send readings directly?
No. Export the batch from the spectrophotometer software as CSV (sample name with L*, a*, b*) and import it on the lot's shade page. Fabric Inspection Software then calculates ΔE to the lot standard (CIEDE2000 or CIE76), the 555 code and the shade bands.
Inspect the first roll the same day
We load your defect master, buyer limits and report layout, then train your inspectors on the floor in Tirupur, Surat or Ludhiana, or over a video call. 14-day pilot, no card. Plans start at ₹4,999 a month with unlimited rolls, and every result follows the ASTM D5430 4-point rules and your buyer's own limit.
